Resolution No. 9/2026/II of the Senate of Lublin University of Technology
of 26 February 2026 on the rules of admission to the Lublin University of Technology Doctoral School in the academic year 2026/2027
Pursuant to Article 200(2) of the Act of 20 July 2018 – Law on Higher Education and Science (consolidated text: Journal of Laws of 2024, item 1571, as amended) (hereinafter: the Act), the Senate resolves as follows:
§ 1.
- This Resolution lays down the rules of admission to the first year of education at the Lublin University of Technology Doctoral School (hereinafter: the Doctoral School, DSLUT) in the academic year 2026/2027.
- Admissions to the first year of education in the Doctoral School are carried out within the planned intake number set by the Senate of Lublin University of Technology.
- The limit referred to in paragraph 2 does not include candidates pursuing an implementation doctorate (implementation project recommended for funding – Recommendation: Qualified – Stage I) and candidates with external funding (provided that the source and scope of such funding are positively assessed and accepted by the Rector).
§ 2.
- Recruitment to the Doctoral School is conducted through a competitive procedure by a Recruitment Committee (hereinafter: the Committee) appointed by the Rector for a one‑year term of office and composed of 7 to 9 members. Decisions on admission or refusal as well as actions provided for in the Act of 14 June 1960 – Code of Administrative Procedure (hereinafter: the CAP) are taken by the Rector.
- The Committee consists of: the Director of the Doctoral School and academic teachers holding at least the degree of doktor habilitowany (Doctor of Science), representing each of the scientific disciplines that constitute the Doctoral School.
- The Doctoral Students’ Self‑Government designates one representative (holding doctoral student status) who participates in the Committee’s work as an observer (with an advisory vote).
- The composition of the Committee is made public on the website of the Doctoral School (sdwpl.pollub.pl).
- A member of the Committee is subject to exclusion for reasons indicated in the appropriately applied Article 24 of the CAP.
- The Committee is chaired by a chairperson elected from among its members at the first meeting convened by the Director of the Doctoral School.
- The tasks of the Committee include, in particular: (1) accepting documents from candidates and evaluating them; (2) notifying candidates of the date and procedure of the recruitment process; (3) conducting the recruitment procedure in the form of a competition; (4) informing candidates of the recruitment results; (5) preparing a ranking list from the recruitment process.
- The Committee evaluates candidates in the presence of at least two‑thirds (2/3) of its members referred to in § 2(2).
- Minutes are drawn up from each meeting of the Committee and signed by the Chair.
§ 3.
- Recruitment to the Doctoral School is conducted in two stages. The first stage consists of submitting the required documents and their evaluation by the Committee. In the case of a positive evaluation, the candidate is admitted to the second stage – the interview.
- The Committee sets the recruitment schedule specifying the time and place for submitting documents.
§ 4.
- The recruitment procedure to the Doctoral School is initiated upon the application of a candidate who has correctly registered in the ERK recruitment system (https://ehms.pollub.pl) within the deadline specified in the recruitment timetable (announced on the DSLUT website) and has paid the recruitment fee, the amount of which is determined by the Rector by separate order.
- An additional recruitment may be announced at any time during the academic year if there are vacancies within the planned intake number set by the Senate of Lublin University of Technology for the given academic year.
- The decision to conduct additional recruitment is taken by the Rector.
- A person who holds the degree of magister, magister inżynier (Master of Science in Engineering) or an equivalent degree, or a person referred to in Article 186(2) of the Act, may be admitted to the Doctoral School.
- A candidate to the Doctoral School shall submit the following documents in Polish or English:
1) an application for admission to the Doctoral School, the template of which constitutes Annex No. 1 (in Polish for Polish citizens) or Annex No. 2 (in English for foreigners) to this Resolution;
2) a printed and signed form from the ERK recruitment system (https://ehms.pollub.pl);
3) a personal questionnaire completed in accordance with the guidelines, the template of which constitutes Annex No. 3 (in Polish for Polish citizens) or Annex No. 4 (in English for foreigners) to this Resolution;
4) a certified true copy of the diploma of completion of long‑cycle Master’s studies or second‑cycle studies or an equivalent diploma obtained under separate regulations. If the diploma was issued in a language other than Polish or English, the candidate shall attach its certified translation;
5) a certified true copy of the diploma supplement (if issued);
6) a CV including information on: (a) completed studies, the topic and results of the work documenting the attainment of relevant qualifications; (b) scientific interests within the chosen scientific discipline; (c) professional experience; (d) scientific activity (scientific publications, participation in scientific projects, activity in scientific clubs, participation in scientific conferences, etc.); (e) other forms of activity;
7) documents certified as true copies – notarised or certified by a person authorised by the Rector – confirming the declared scientific activity and other forms of activity, constituting duly numbered annexes to the personal questionnaire;
8) a medical certificate confirming no health contraindications to undertaking education in the Doctoral School and to conducting scientific research in the relevant discipline;
9) a statement by an academic staff member holding the title of professor or the degree of doktor habilitowany, who submitted the research topic for the recruitment process, consenting to the candidate’s preparation of a doctoral dissertation on the submitted research topic;
10) in the case of persons holding the doctoral degree, a statement that the research topic is not identical to the work prepared in the course of the previous proceedings for the award of the doctoral degree;
11) two photographs (format 4.5 cm × 6.5 cm) along with a digital version (JPG, TIF, BMP or PNG) to be uploaded to the ERK electronic recruitment system. The photograph must meet the requirements applicable to the issuing of identity cards or passports (see obywatel.gov.pl guidance);
12) additionally, in the case of foreigners: (a) proof of legal stay in the territory of the Republic of Poland; (b) proof of health insurance;
13) documents must be prepared in Polish or English, or be translated into Polish or English by a sworn translator or an equivalent in the country of issue.
§ 5.
- The interview is conducted in Polish or English. The date, place and time of the interview will be available in the ERK system and will be published on the Doctoral School’s website.
- Research topics for the recruitment process are submitted by academic staff of Lublin University of Technology holding the title of professor or the degree of doktor habilitowany. An academic staff member submitting a research topic for recruitment may give the consent referred to in § 4(5)(9) to only one candidate.
- The research topics referred to in paragraph 2 shall be submitted two months before the start of electronic recruitment of candidates in the ERK system (in accordance with the timetable). They are then approved by the Doctoral School Council and announced by the Director of the Doctoral School on the School’s website not later than two months before the interview.
- A necessary condition for pursuing an implementation doctorate is obtaining a decision of the Minister of Science and Higher Education on qualification for the “Implementation Doctorate” programme and successfully completing the Doctoral School recruitment procedure.
§ 6.
- In the competition, the Committee assesses whether the person applying for admission to the Doctoral School: (1) completed studies in a field consistent with or related to at least one of the scientific disciplines in which the Doctoral School operates, confirmed by an appropriate diploma; (2) submitted the required documents; (3) met the substantive criteria specified in paragraph 5; (4) obtained the minimum number of points in the recruitment process in accordance with § 7(4).
- In the case of fields of study assigned to disciplines other than those in which education is conducted in the Doctoral School, the Committee decides whether the field of study completed by the candidate is related to the scientific discipline, on the basis of the candidate’s transcript or diploma supplement.
- In the competition, the Committee takes into account the candidate’s documented scientific activity corresponding to the disciplines in which the Doctoral School operates from the period of the last three calendar years preceding recruitment. Points are calculated only on the basis of confirmed documents submitted within the deadline set by the Committee in the recruitment timetable. After this deadline, it is not possible to supplement the documents.
- A candidate may take part in the recruitment process if they document their knowledge of English with a language certificate at the B2 level or higher.
- In the competition, points are awarded to individual candidates taking into account:
1) Diploma grade (p1): very good – 25 pts; good plus – 15 pts; good – 5 pts; satisfactory plus – 0 pts; satisfactory – 0 pts.
2) Assessment of the candidate’s scientific activity (publications, patents, awards, distinctions, conference presentations) obtained in the last three years (p2):
– each publication published or accepted for publication in a journal in the given discipline included in the list referred to in Article 267(2)(2)(b) of the Act (“new list”) with 200 or 140 points – 15 pts per publication;
– each publication published or accepted for publication in a journal in the given discipline included in the new list with 100 or 70 points, or a patent – 10 pts per publication or patent;
– each publication published or accepted for publication in a journal in the given discipline included in the new list with 40 or 20 points, or in indexed conference proceedings (Web of Science or Scopus), or a journal referred to in Article 265(9)(2)(b) of the Act (“Support for Scientific Journals”) – 5 pts per publication;
– participation as principal investigator or contractor in research projects financed directly from sources other than the subsidy (NCN, NCBR, MNiSW, MEiN, FNP), confirmed by a relevant agreement – 5 pts per project;
– having an implementation project recommended for funding – Recommendation: Qualified – Stage I – 15 pts;
– participation as beneficiary in internal scientific pro‑quality projects – 3 pts per project;
– active participation in an international conference confirmed by a certificate or information in the conference materials – 5 pts per conference;
– active participation in a national conference, including a student symposium/conference, confirmed by a certificate or information in the conference materials – 3 pts per conference;
Note: the candidate may obtain a total maximum of 25 pts in category p2. Confirmation consists of submitting annexes including: printed publications, patents, certificates of active participation in international or national conferences.
3) Results of the recruitment interview (p3). During the interview the candidate presents a multimedia presentation concerning the implementation of the selected research topic. The assessment covers the candidate’s level of knowledge and the manner of presenting the scientific interests, including: (a) the substantive content of the presentation (description of the issue, aim of the work, planned scope of research, planned research methodology); (b) presentation skills; (c) ability to answer questions about the topic in terms of general scientific and technical knowledge; (d) style and clarity of speech.
The interview aims to obtain information on the candidates’ motivation and aptitude for scientific work. The number of points awarded (p3): from 0 to 50 pts. Guidelines for preparing the presentation are available on the website of the Doctoral School of Lublin University of Technology in the Recruitment tab.
The interview score component is the average of the scores assigned by individual Committee members, excluding the extreme scores – one lowest and one highest.
§ 7.
- The recruitment procedure aims to determine the number of points awarded to the candidate for individual elements of this procedure and to determine the total score obtained by the candidate.
- The total score P is expressed by the formula: P = p1 + p2 + p3.
- The Committee prepares a ranking list of candidates by determining their order according to the total number of points (P). The list is submitted to the Rector, who makes decisions on admission or refusal of admission to the Doctoral School.
- The minimum number of points entitling a candidate to admission to the Doctoral School shall not be less than 60. Achieving the minimum number of points does not guarantee admission to the Doctoral School.
- Based on the ranking list, the Committee recommends to the Rector candidates for admission to the Doctoral School within the limit of places set by the resolution of the Senate of Lublin University of Technology.
- Candidates who are not admitted to the Doctoral School due to the exhaustion of the limit of places constitute a reserve group established in order of the points obtained.
- Recruitment results are public and shall be published on the website of the Doctoral School.
§ 8.
- A candidate recommended in accordance with § 7(3)-(5) is admitted to the Doctoral School by being entered on the list of doctoral students. The list of doctoral students is maintained by the Director of the Doctoral School. The entry is made by the Rector after the candidate submits the original or an official copy of the document entitling them to undertake education in the Doctoral School and a statement on undertaking education in the Doctoral School within the selected discipline.
- The Rector’s decision refusing admission to the Doctoral School shall indicate the number of points obtained by the candidate for individual elements, their sum, and the minimum threshold entitling to admission.
- Refusal of admission to the Doctoral School is made by way of an administrative decision. The candidate may request reconsideration of the case.
§ 9.
- Lublin University of Technology enables recruitment for persons with disabilities or with special needs by providing appropriate tools that allow them to participate in the interview.
- Candidates with disabilities or with special needs are subject to the same recruitment procedure as other persons applying for admission to the Doctoral School.
- The form of assistance during the recruitment procedure may be agreed with the Committee through the Rector’s Plenipotentiary for Persons with Disabilities, after the candidate contacts the Plenipotentiary. The notification should be made no later than two weeks before the interview date.
§ 10.
Matters not regulated in this Resolution shall be decided by the Rector.
§ 11.
This Resolution enters into force on the date of signature.
